Creating a Duplicate Insertion Order

Personify allows you to create duplicate insertion orders, either within the same order or within a different insertion order. When creating a duplicate insertion order, you can select the issue date(s) for the new insertion order (for a print advertisement), or you can select the begin and end dates (for Web advertisements).

 

If the insertion order you are copying has surcharges, you can select or deselect the surcharges for the new insertion order. You can also copy the sales representatives and advertiser products/services to the new order, as well as change the advertiser, agency, etc.

To create a duplicate insertion order:

1.    From the Advertising Insertion Orders task category, click Create Duplicate Insertions.
The Create Duplicate Insertion Order screen displays, as shown below.

2.    In the Options section, select the applicable radio buttons:

·            Create New Order Detail Lines

·            Create One New Order for all Duplicated Insertion Orders

·            Create New Order for Each Duplicated Insertion Order

3.    If necessary, select whether you want the system to Recalculate Rate Structure.

4.    From the New Insertion Order(s) section, enter a new Advertising Contract, if necessary.

image5.gif Upon modifying the text box containing the advertising contract ID taken from the insertion order, the previously read-only Advertising Contract becomes a link, allowing you to search for a previously created contract.

5.    If necessary, click the Advertiser, Agency, and Bill-To Customer links.
Each link opens the Customer Chooser where you can select new customers to be the advertiser, agency, and/or bill-to customer.

image6.gif Optionally, you can select the “Make as Bill-To” checkbox next to the Advertiser and Agency to make that customer the bill-to customer.

6.    Click the Advertisement ID link.
The Generic Chooser displays with a list of ad creatives. Search for and select the ad creative you want associated with this new insertion order.

7.    If necessary, select the Copy Products/Services checkbox.

8.    If necessary, select the Copy Sales Reps checkbox.

9.    From the Products to be Copied section, select the product(s) you want to copy.

10.  From the Publication Issues section, select the issues(s) you want the copied insertion order to apply to.

11.  Click Create Duplicate Order(s).
