Defining Intercompany Accounts

This screen is where you define the accounts for each company that will be used to balance cross-company transactions. A separate “from” and “to” account must be defined within each company for all companies referenced in the system. This type of account is only used if you have a multi-company.

Entering information on this screen is only required if more than one GL company exists for the organization unit and there will be due-to/due-from transactions between the companies.

To define intercompany accounts:

1.    On the GL Accounts Maintenance screen, click Intercompany Accounts from the GL Maintenance task category.

2.    Search for an organization and select it.

3.    Click Add Account Pair.
The Intercompany GL Accounts fields are enabled.

4.    Select an External Company from the drop-down.

5.    Click the Debit Account (Due From) link and search for the appropriate debit account.

6.    Click the Credit Account (Due To) link and search for the appropriate credit account.

7.    Click Save.

Screen Element Description
Add Account Pair Button. When clicked, a row is added to the table and the corresponding fields are enabled to add an account pair.
External Company Drop-down. The external financial company to pair with the selected company. The external company must be a company within the same organization. This cannot be the same as the selected company. If an account from this company is used, due-to and due-from transactions need to be created using this setup.
Debit Account (Due From) Link. The debit (due-from) account associated with the account pair and used for intercompany transactions. It can be an asset or liability account. This should be unique within the organization, organization unit, company, and receipt type. This account has a debit balance.
Credit Account (Due To) Link. The credit (due-to) account associated with the account pair and used for intercompany transactions. It can be an asset or liability account. This account has a credit balance.
Delete Account Pair Button. When clicked, the highlighted row from the table is deleted. No transactions can exist for this account for it to be deleted.
